Guidelines and Tips for Submitting Originals

Creating Originals:

Please provide Electronic Files – this will give you much better quality copies than Hard Copy and speed up the turn around time. This can be done on CD, Flash drive or via E-mail. If your CD or Flash Drive is properly identified it will be returned to you. **Remember if you use a quote, paragraph, or other excerpt from someone elses published work you must give credit or it is considered plagiarism.**

Hard Copy originals should be on plain white paper with no staples or holes punched. If you provide a printed hard copy we have to scan it and make it electronic again while reducing quality of the final copies.

Things to avoid on your Hard Copy originals: If requesting black ink copies, avoid using pastel colors on your originals as these do not reproduce well. (Example colors are: lt. blue, pink, yellow and lt. green). Also take your printer off economy/draft setting if your document has graphics to get darker prints for us to scan.

Remember to leave a 1/8 inch margin on all edges of the sheet, especially when hand writing notes. Reproduction equipment is designed to eliminate the 1/8 inch outer edges of the sheet to prevent build-up of toner/ink on the edges of the paper when printing.

If you are planning on having a document 3-hole punched, please remember to leave a 5/8 inch margin on the left side of your original. If you are planning to have it reproduced two-sided you will need to leave a 5/8 inch margin on both sides of your original.

Creating CD/DVD Originals:

Please provide a master CD or DVD set up exactly how you want the students to receive the duplicated CD or DVD. Files for reference (reading only) should be separated from documents the student will need to print for class work, etc. (The object of using a CD or DVD instead of hard copy is to save on paper and printing cost.) We can print directly on the CD or DVD we produce, so please provide this information, which will be printed along with the KCC Logo. Check with the Duplication/Distribution Center about adding custom logos,etc.

****If your files or hardcopy contain copyrighted information, written proof of permission to reproduce must accompany your request.****

Submitting Originals:

When Hard Copy Originals are provided instead of electronic files, if our work load and your due date allows, your originals will be cleaned up as much as possible. The number one reason is to give you a more professional looking document and number two is to save on toner/ink costs.

If providing electronic files, make sure the file has been created in a Microsoft Office program and only Microsoft Office Fonts have been used. Please include the complete name of your file to be duplicated on the requisition. If your file was not created in a Microsoft Office program or if you used special fonts it must be made into a “PDF” file before sending to Duplication.

Optional Services available:

Page numbers can be added to a document. Page numbers can be anywhere on the sheet and can be the entire document or a range of pages in your document. A document can have multiple groups of page numbers also (example: each section of a syllabus can begin with the number one.).

Stapling options are available. Regular stapling- upper left corner (portrait or landscape); Dual Stapling- 2 staples along left or right edge of sheet (portrait only); Right side staple- upper right corner (portrait or landscape).

Removal of unwanted sections or items on an original. We can remove unwanted sections or items on an original as long as the edges are straight or do not overlap with another item on the original.
